We are seeking a Legal Administrative Assistant to join our team in Dallas. This role is critical to ensuring the smooth functioning of our office, providing high-quality administrative support, and temporarily covering responsibilities for the City Director as needed. Key Responsibilities
Leadership and Office Operations
- Oversee daily office operations to maintain high service standards.
- Plan and organize administrative activities, ensuring smooth city office functions.
- Develop and manage outreach programs with consulates and community organizations aligned with our mission.
- Lead the implementation of short- and long-term strategies to meet organizational goals.
- Represent the organization at events, consulate visits, and client appointments as required.
Legal Administrative Support
- Draft, proofread, and manage legal documents, including affidavits, forms, and correspondence.
- Organize and maintain confidential client files with attention to detail and accuracy.
- Coordinate deadlines, schedules, and documentation to support attorneys and staff.
Client Services
- Conduct client intakes and assist with appointments.
- Respond to client inquiries, providing clear and empathetic communication.
- Support “Know Your Rights” presentations and other community education initiatives.
Community Outreach
- Collaborate with local agencies, consulates, and organizations to expand partnerships.
- Facilitate client surveys and build relationships with referral sources.
Administrative Tasks
- Manage incoming and outgoing correspondence, including mail and email.
- Perform clerical duties such as filing, copying, scanning, and data entry.
- Prepare reports, memos, and documentation for internal and external use.
Qualifications
Education & Experience
- Preferred: Bachelor’s or Associate’s degree in legal administration, office management, or a related field.
- Minimum 2–3 years of experience in legal administrative roles, ideally in immigration law or nonprofit organizations.
Skills & Competencies
- Fluency in Spanish and English (written and spoken).
- Proficiency in Google Workspace, Gmail, Microsoft Office, and other productivity tools.
- Strong organizational and multitasking skills with attention to detail.
- Demonstrated ability to manage legal documentation and deadlines effectively.
- Exceptional interpersonal and communication skills with a compassionate approach to working with vulnerable populations.
Benefits & Compensation
- Salary: $38,000 annually (full-time, 40 hours per week).
- Work Hours: Monday to Friday, 9:00 AM to 6:00 PM CDT.
- Work Location: 1220 River Bend Drive, Suites 106 & 108, Dallas, TX 75247.
- Probationary Period: One-month trial period.
